Effectively managing action based email helps streamline workflows, reduce inbox clutter, and ensure that important tasks don’t slip through the cracks. Below are some strategies to help you stay on top of action related emails:
Use Flags to Track Follow-Ups:
Flags are a simple yet powerful tool to highlight emails that require follow-up. In Outlook, you can assign due dates and reminders to flagged emails, ensuring that important tasks don’t get overlooked. To view all flagged emails in one place, create a “Follow-Up” Search Folder, which consolidates all flagged messages into a single, easy-to-access view.
Convert Emails into Calendar Events or Tasks
Rather than keeping action-oriented emails in your inbox, move them into your Calendar or Tasks to allocate dedicated time for completion. Choose to keep the original email attached for context, set reminders, and assign due dates to ensure timely follow-up. To do this, left click on an email and drag and drop it on to the Calendar Icon in the left navigation bar in Classic Outlook and drag it to the right and drop into the MyDay bar.
Categorize Emails for Quick Identification
Utilize Color Categories to label emails based on the type of action required. For example, create categories such as Read/Review, Respond, Waiting on Response, Follow-Up, or Urgent. Categorizing emails allows for easy sorting and filtering, ensuring that you can quickly locate and prioritize messages based on their urgency and required action. Create a “Search Folder” to make it easier to find the color categorized email.
Keep Action Emails in Your Inbox
For those who prefer to manage action items within their inbox, keep it structured and uncluttered. Remove unnecessary emails, and sort by descending date order so that older, unresolved emails appear at the top, making them more visible. This method ensures that lingering tasks stay on your radar without getting buried under newer emails.
